Privacy Policy

Last updated: 22 July 2026 · Applies to shopops.ca, the ShopOps Android app, and related staff / VIP portals.

This policy explains how ShopOps Inc. (“ShopOps”, “we”, “us”) collects, uses, and shares information when you use our website, Progressive Web App (PWA), and Google Play app (ca.shopops.app — a Trusted Web Activity that opens our hosted product). Contact: anton@shopops.ca.

1. Who this is for

ShopOps is business software for stone / surface fabricators and their partners — not a consumer social app and not directed at children.

• Shop staff — employees of a fabricator shop (quoting, pipeline, shop floor, installs, time clock, etc.).
• VIP partners — contractors, suppliers, and clients invited by a shop (rates, stone prices, job status, orders).
• Website visitors — people reading marketing pages, pricing, or requesting a pilot / demo.

When a fabricator shop runs ShopOps, that shop is typically the business customer that controls employee and job data in their workspace. ShopOps provides the hosted platform.

2. Information we collect

2.1 Account & identity

• Username, display name, work email, phone (when provided).
• Role and company / portal type (staff, contractor, supplier, client) assigned by the shop or by us for demo / pilot accounts.
• Authentication data (password is stored hashed; we do not store plain-text passwords).

2.2 Shop & VIP operational data

• Quotes, jobs, measures, slab layouts, remnants, fabrication / install status.
• Client and project details entered by staff or partners (names, addresses, phones, notes).
• Time punches, tasks, attachments, and messages needed for day-to-day shop operations.
• Commercial records (invoices, rates, seat / subscription status where applicable).

2.3 Device, app & session data

• Session cookies / tokens so you stay signed in while using the site or app.
• Basic technical logs (IP address, browser/app type, timestamps) for security, reliability, and abuse prevention.
• Single active session (when enabled) — a new sign-in may end the previous session for the same username.
• Optional push notification subscription data (device endpoint / keys) if you enable notifications.

2.4 Website & marketing

• Contact / pilot / demo request forms (name, company, email, phone, message).
• Analytics or performance tools only if configured for the public site (to understand traffic and improve the product). We do not sell personal data to advertisers.

2.5 Payments

• If you pay through Google Play (e.g. user seats), Google processes payment data under Google’s policies; we receive purchase / entitlement signals needed to provision access.
• If you pay by e-transfer, cheque, or invoice, we process only the business payment details you send us (and bank confirmation), not full card numbers on our servers unless a payment processor is integrated later.

2.6 What we do not collect for advertising

We do not sell personal information. We do not use the app to build advertising profiles or show third-party ads inside ShopOps.

3. How we use information

• Provide and operate the ShopOps product (quotes → production → install → billing workflows).
• Authenticate users, enforce roles, and protect accounts (including optional single-session rules).
• Communicate about the service (support, security alerts, operational notices, pilot onboarding).
• Improve reliability, fix bugs, and prevent fraud or misuse.
• Meet accounting, legal, and contractual obligations.

4. How we share information

We share data only as needed to run the service:

• Within your shop’s workspace — other authorized users of that company (per role permissions).
• VIP partners — only the job / rate / status information your shop has chosen to expose to that partner.
• Service providers — hosting, email delivery, backups, and similar infrastructure under agreements that limit use to providing their service.
• Google — if you install the Play app or buy seats through Play (app distribution, billing, integrity).
• Legal — when required by law, court order, or to protect rights, safety, and security.

We do not sell or rent personal information.

5. Android app (Google Play / TWA)

The ShopOps app on Google Play is a thin native shell (Trusted Web Activity) that opens https://shopops.ca/open and the same product as the mobile browser. It does not add a separate ad network. Data practices match this policy for the website and portals.

• Account required: yes — access is for authorized shop and VIP users (demo accounts may be provided for evaluation).

6. Where data is stored

Application data is hosted on our production servers (currently operated for ShopOps in Canada). Backups and infrastructure providers may process data in order to keep the service available. If that changes, we will update this policy.

7. Retention

• Business records (jobs, invoices, time, quotes) — kept for the life of the shop’s account and as needed for accounting / legal requirements.
• Accounts — until the shop or user is deactivated and any required retention period ends.
• Support / inquiry messages — kept as needed to respond and improve onboarding.
• Security logs — kept for a limited period for troubleshooting and abuse prevention.

Shop administrators may request account deactivation or data export by contacting us.

8. Security

• HTTPS for data in transit.
• Hashed passwords and role-based access control.
• Server and operational access limited to people who need it to run the product.

No method of transmission or storage is 100% secure; we work to protect systems reasonably for a business operations app.

9. Your choices & rights

• Sign out from the app or website header.
• Update contact details in Account settings where available.
• Ask your shop admin to change your role or deactivate access.
• Contact us to correct account information, request deactivation, or ask privacy questions: anton@shopops.ca.
• Delete account & data: Request account and data deletion (also used for Google Play).
• VIP partners: request access changes through your fabricator contact or hello@shopops.ca.

Depending on where you live, you may have rights to access, correct, or delete personal information, or to withdraw consent where processing is based on consent. We will respond to reasonable requests consistent with Canadian privacy law (including PIPEDA where applicable) and other laws that apply.

10. Children

ShopOps is for adult employees and business partners. It is not directed at children under 13 (or under 16 where that is the local standard). We do not knowingly collect children’s data.

11. International users

If you access ShopOps from outside Canada, your information may be processed in Canada (and by infrastructure providers as described above). By using the service you understand that transfer.

12. Changes to this policy

We may update this page as the product evolves (new features, stores, or legal requirements). The “Last updated” date will change when we do. Material changes may also be noted in-app or by email to admins when appropriate.
